Logistics & Operations Coordinator

An office and operations coordinator with a minimum of two years of experience is being sought to join a New York City-based Fine Jewllery studio on a full-time basis. The successful applicant will work alongside the US team to support the office and logistics operations at the new Chelsea studio.

This role offers the opportunity to make a direct and positive impact while contributing to the company's growth during an exciting stage.

Main duties include:

  • Ensuring the proper and timely movement of products in and out of the showroom, including shipments, transfers, and loans to clients, retailers, and partners. Prioritizing and optimizing transportation to ensure on-time deliveries, tracking, and overseeing all inbound and outbound stock movements.

  • Following appropriate packing, shipping, and receiving procedures.

  • Ensuring daily paperwork and communication are submitted timely and accurately.

  • Conducting daily opening and closing procedures and adhering to insurance and security requirements.

  • Coordinating the inventory control process for monthly and quarterly stock counts.

  • Collaborating with teams in the UK and Brazil to manage showroom inventory and stock transfers from workshops and headquarters.

  • Overseeing repair care services, liaising with local workshops and internal production teams to facilitate the repair process.

  • Managing office efficiency by maintaining common areas, answering phones, and ordering supplies. Providing general showroom support to visitors, such as welcoming guests and offering refreshments.

  • Supporting sales and marketing teams with event logistics, including trunk shows, sales exhibitions, and direct sales events.

  • Facilitating in-person deliveries to local retailers, press, and clients as needed.

  • Performing some operational tasks typical within a small business.

Required skills/experience:

  • Experience in logistics and familiarity with FedEx, DHL, Ferrari, etc.

  • Ability to work quickly and accurately.

  • Solution-oriented team player.

  • Highly organized with an excellent eye for detail.

  • Willing to roll up sleeves and assist other team members when required.

  • Strong communication skills.

  • Full-time, in-office position.

Desired skills/experience:

  • Proficiency in Excel, Microsoft Office, and Apple products.

  • Experience with Bright Pearl is a plus
